Responsibilities

Tasks

  • -Managing the daily operations of the office.
  • -Organizing and maintaining files and records.
  • -Ordering office supplies and managing inventory.
  • -Handling incoming and outgoing communications, including phone calls, emails, and mail.
  • -Serving as the first point of contact for clients, drivers, and vendors.
  • -Scheduling appointments and meetings for managers and staff.
  • -Coordinating travel arrangements for staff, including booking transportation and accommodations.
  • -Preparing and maintaining transportation documents such as bills of lading, invoices, and delivery receipts.
  • -Creating and distributing reports related to transportation activities and office operations.
  • -Addressing inquiries and providing customer service to clients and drivers.
  • -Resolving issues related to shipments, deliveries, and logistics.
  • -Entering and updating data in transportation management systems and other databases.
  • -Maintaining accurate records of shipments, deliveries, and vehicle maintenance.
  • -Ensuring compliance with company policies and industry regulations.
  • -Assisting with audits and inspections by preparing necessary documentation and reports.
  • -Assisting with billing and invoicing.
  • -Managing accounts receivable and accounts payable processes.
  • -Preparing expense reports and assisting with budget tracking.
  • -Keeping records of vehicle maintenance and inspections.
  • -Ensuring all safety protocols are followed and documented.
